Yes. The Free plan includes 15 credits per month permanently. Credits renew at the start of each calendar month. One credit is used per Smart Scan, per materials list generation, and per execution plan generation. Viewing, editing, approving, and downloading quotes is always free.

What file types can I upload for a Smart Scan?

Videos: MP4, MOV, or WEBM files up to 50MB each, maximum 3 minutes duration, maximum 3 per job. PDF drawings: up to 50MB each, maximum 5 per job. Photos: JPG, PNG, or WEBP up to 10MB each, maximum 10 per job. Maximum 15 files total per job.

My video file is over 50MB, what should I do?

Set your phone camera to Standard HD at 720p before recording and re-record the walkthrough. A 3-minute video at 720p typically produces a file of 20 to 40MB, well within the 50MB limit. On iPhone, go to Settings, Camera, Record Video and select 720p HD.

Yes. The Smart Scanner transcribes and processes spoken audio from your walkthrough videos using the same intelligent system that analyses the visuals. You can narrate the job as you film and that spoken scope is treated with the same weight as written notes. Multi-language audio is supported and the output is always in English.

Can I use TradesMan Quote without uploading any media files?

Yes. If you have a clear written description of the job such as the client message or your own scope notes, you can trigger a Smart Scan from text alone with no media required. Media improves quantity accuracy but is not mandatory.

How long are uploaded job files stored?

Accepted Answer

Uploaded job files are stored for 14 days after upload, or 14 days after quote approval, whichever is later. Your quote PDFs and materials PDFs are stored permanently and never expire.

What happens if the Smart Scanner misses something in the quote?

The quote editor allows full manual editing. You can add any item from the 602-record pricing database using the pricing search, add a blank line with a custom price, adjust quantities on any existing line, or delete lines the system generated in error. The system output is a starting point and you always have final control.

What are the LOW, AVG, and HIGH price tiers in the quote editor?

Every pricing record in the database includes three labour price benchmarks: LOW for competitive rates, AVG for typical UK rates which is the default, and HIGH for premium or specialist rates. All three are calculated per job using the regional multiplier for your job location. You can switch any line between tiers with a single button click in the quote editor.

How is regional pricing applied?

When you create a job you select the UK region from 9 options: London Inner, London Outer, South East, South West, Midlands, North West, North East, Scotland, or Wales. A regional multiplier is applied to all base prices which are calibrated to Midlands rates as baseline.

Can I set a custom price that is not LOW, AVG, or HIGH?

Yes. Typing directly into the unit price field on any line item activates custom mode. The LOW, AVG, and HIGH buttons grey out and the field becomes fully editable. Clicking any tier button reverts the line to that stored price.

What items does the Smart System add automatically that were not in the scope?

The Smart System applies trade logic to add items that site media cannot show but are always required. For tiling: priming before wall or floor tiles, tanking for wet rooms and shower surrounds, silicone sealing. For plumbing: valve sets with new radiators, magnetic filters with new boilers. For painting: scaffold allowance notes for exterior above ground floor. For brickwork: skip hire for repointing above 10 square metres.

Each material shows name, specification, quantity, unit, estimated unit cost at current UK trade counter prices, and estimated line total. Wastage is applied per trade: 10 percent for tiling and 5 percent for paint.

How is the execution plan and Gantt chart generated?

The execution plan is generated by an intelligent scheduling system. It sequences tasks in correct trade order with first fix before boarding, boarding before second fix, tanking before tiling, and decorating last. It includes zero-worker blocking periods for drying and curing times such as tile adhesive, grout, and plaster, and calculates realistic durations using UK productivity benchmarks.

Can I edit the execution plan after it is generated?

Yes. After generation you can rename tasks, adjust durations, and change the start date. Changing the start date instantly recalculates all calendar dates without consuming a credit. Changing the workforce count or working week triggers a full regeneration which costs one credit.

Does the materials list update automatically if I edit the quote?

The materials list is generated from the quote as it stands at generation time. If you make significant changes to the quote after generating a materials list, use the Regenerate button to produce a fresh list. Regeneration costs one credit.

What payment methods does TradesMan Quote accept?

Accepted Answer

All major debit and credit cards including Visa, Mastercard, and American Express via Stripe. No bank transfer or invoice billing is available for individual accounts.

Can I change my subscription plan at any time?

Yes. Upgrade takes effect immediately. Downgrade takes effect at the end of your current billing period.

What happens to my data if I cancel my subscription?

Your account data including quotes, clients, and jobs remains accessible for 30 days after cancellation. PDFs are permanently stored and remain downloadable throughout. After 30 days your account is deactivated.

Is my payment card information stored on TradesMan Quote servers?

Accepted Answer

No. All payment processing is handled by Stripe. TradesMan Quote never sees or stores your card number, expiry date, or CVV. Stripe is PCI DSS Level 1 certified.
